Privacy policy

This policy explains how JobVault collects, uses, stores and shares information when you use the JobVault Android app, website and related services.

Who is responsible for your information

JobVault is the service responsible for processing the information described in this policy. This policy applies to information handled by JobVault and not to information independently handled by another service you choose to connect or use.

Information we collect

Account and access information

Your name, email address, encrypted authentication details, account permissions, access-code details and secure session tokens.

Job and workspace content

Job and group names, descriptions, dates, locations and coordinates, photographs, photo notes and metadata, scan notes, checklist answers, team messages, sharing details and feedback you submit.

Device and app information

Push-notification tokens, app version and build information, notification interactions, device or browser details, IP addresses and security or diagnostic records generated when the service is used.

Billing information

Subscription status, plan and billing identifiers. Payments are processed by Stripe; JobVault does not receive or store your complete payment-card number.

Android permissions and device features

  • Camera: used when you capture photographs or scan information for a job. Captured content is stored on the device while queued and uploaded to the workspace you selected.
  • Microphone and speech recognition: used only when you enable voice shutter or dictate a photo note. JobVault does not intentionally retain an audio recording, although your device speech-recognition provider may process audio under its own terms.
  • Location: used when you choose to search for, select or attach a location to a job or photograph. JobVault can store the place name and coordinates you select. Location features use Google Maps and Google Places services.
  • Notifications: used to deliver job-sharing invitations and related service messages. JobVault registers a device token with Firebase Cloud Messaging after notification permission is granted.
  • Local storage: used for secure sign-in details and an offline queue so your work can be retained until a network connection is available.

How we use information

  • Provide, synchronise and secure your JobVault account and workspace.
  • Store, organise, display, download and share job records according to your instructions and permissions.
  • Deliver notifications, respond to feedback and provide customer support.
  • Process subscriptions, enforce storage allowances and maintain billing records.
  • Protect JobVault, prevent misuse, diagnose failures and comply with legal obligations.

When information is shared

We do not sell your personal information. We share information only when needed to provide the service, follow your instructions, protect the service or meet a legal obligation. This can include:

  • hosting, database, email and object-storage providers that operate JobVault;
  • Google services for maps, place search and Firebase Cloud Messaging;
  • Stripe for subscription and payment processing;
  • external storage providers you connect and recipients with whom you choose to share a job; and
  • authorities or professional advisers where disclosure is required by law or necessary to protect rights and safety.

Storage, retention and deletion

JobVault keeps account information and workspace content while your account is active and for as long as reasonably needed to provide the service, meet legal obligations, resolve disputes and protect the service.

Deleted jobs, photographs and scan notes may remain recoverable in Recently deleted for up to 24 hours before permanent deletion. Limited records may remain in protected backups or security logs until those records are routinely overwritten or no longer required.

You can delete individual content within JobVault. To request deletion of your account and associated information, email privacy@jobvault.online from the address registered to your account. We may need to verify your identity before completing the request.

Content transferred to storage you control, or previously shared with another account, may also need to be deleted from that destination or recipient account.

Security and international processing

We use technical and organisational safeguards designed to protect information, including encrypted connections, access controls and secure storage for authentication credentials. No method of storage or transmission can be guaranteed completely secure.

JobVault and its service providers may process information in countries other than your own. Where required, we use appropriate safeguards for international transfers.

Your choices and rights

You can update your profile, control app permissions in Android settings, disable notifications, review or delete workspace content, and disconnect external storage. Depending on where you live, you may also have rights to access, correct, export, restrict or object to processing of your information, or complain to your local data-protection authority.

Children

JobVault is a workplace service and is not directed to children. We do not knowingly collect personal information from children through the service.

Changes to this policy

We may update this policy when JobVault, our providers or legal requirements change. The effective date at the top of this page shows when it was last updated. We will provide additional notice when a material change requires it.
